Lettre de motivation de HR business partner : exemple

Ta lettre de HRBP est lue par des gens du métier. Voici ce qu’ils cherchent, une structure en trois paragraphes, un exemple commenté et la façon de l’adapter à chaque offre.

By Équipe RH-CV

For an HR business partner job, the cover letter is read by people whose own trade is relationship-building and persuasion: an HR manager, a business-unit director, sometimes both. A generic letter goes down badly. This guide shows you what the recruiter looks for, a three-paragraph structure, a commented example and how to adapt it to each offer. Your résumé remains the document that proves your scope; the letter must show how you think.

What the recruiter expects from an HRBP letter

An HRBP is the HR entry point for a department or business. The Apec job profile for the HR manager 🔗 (Apec is the French executive employment association) describes the “business partner” stance: support for managers in applying HR policy, in which employees and managers become internal clients. That is the stance your letter must make visible.

In practice, the reader looks for three things.

  • That you understand the business. An HRBP who only talks HR is one more generalist. Show that you have read what the company sells, how it is organised and where its people issues lie: growth, reorganisation, pressure on certain jobs, transformation.
  • That you can advise. The job is helping a manager decide, not applying a procedure. Your letter must contain at least one situation where you shed light on a decision, stating the disagreement or constraint.
  • That you express yourself clearly. The letter is a sample of your communication. A short sentence, a precise example and a direct tone beat three paragraphs of politeness.

If you still hesitate over the gap between an HRBP and an HR manager job, first read our comparison HRBP or HR manager: the letter is not the same depending on which you apply for.

A three-paragraph structure

One page is enough. Three paragraphs, each with a role.

Paragraph 1: the company’s context and your reason for writing

Open on the company, not on yourself. This paragraph shows you understood the issue the job must address. One sentence on a visible challenge (growth, a reorganisation, a need to recruit for jobs in short supply), one sentence on why this job interests you.

Avoid “I am writing to apply for…”: it is every letter’s opening.

Paragraph 2: one situation, not a list of qualities

This is the heart of the letter. Choose one real situation where you acted as a partner: supporting a manager through a reorganisation, handling a performance case, preparing a talent review, building a headcount plan with a director. Describe in four or five sentences:

  1. the context and the manager’s request;
  2. what you analysed or proposed;
  3. what was decided, and what you had to negotiate;
  4. the result, quantified if you can justify it, or described without exaggeration otherwise.

Never invent a figure. If you have no reliable measure, describe what changed concretely: a process, a timetable, a decision taken.

Paragraph 3: what you bring and next steps

Link your situation to what the offer asks. One sentence on how you work with managers, one on what you could do in the scope. End with a precise proposal to talk, not a passive thank-you.

A commented example

Here is a fictional letter for an HRBP job in a growing services company. Adapt it to your background; do not copy it.

Subject: Application for the HR business partner position – operations department

Dear Sir or Madam,

Your advertisement mentions an operations department that must absorb several site openings while renewing its supervisors. This is exactly the kind of context in which the HRBP role makes sense, which is why I am writing to you.

Comment: the first paragraph starts from the advertisement and the challenge, not the candidate. Citing one verifiable fact is enough; no need to flatter the company.

In my current job, I support the director of a production site whose supervisory team had to be reorganised within a few months. I began by mapping each manager’s skills and expected departures, then proposed three organisation scenarios with their social risks. The director chose the most gradual scenario; I then prepared the individual interviews with her and the information timetable for the works council. The reorganisation went through without open conflict and the key supervisory posts were filled internally.

Comment: one situation only, told in sequence. You can see the analysis, the option, the decision and what was negotiated. The result is described soberly, with no invented percentage.

What I take from it, and what I would like to bring to your teams, is a way of working: set out the facts before opinions, present options rather than a single recommendation and stay available for managers who hesitate. I would be glad to present how I would approach the first six months in this scope in a conversation.

Yours faithfully,

Comment: the conclusion opens a precise conversation. The “first six months” proposal gives the reader a reason to reply.

Common mistakes

  • Talking about “good people skills” with no proof. A quality without a situation convinces nobody.
  • Repeating the résumé. The letter complements the résumé; it does not copy it.
  • Ignoring the business. A letter that could go to any company will be read as such.
  • Inventing a figure. An HR recruiter cross-checks, and an indefensible figure casts doubt on the rest.
  • Mixing registers. An overly theoretical letter (“HR must become strategic”) with no concrete example is common and not very useful.
  • Forgetting confidentiality. Name neither an employee nor a client; describe the situation without making it identifiable.

Adapting the letter to the offer

Read the offer three times, with a highlighter.

  1. The scope: population supported, number of sites, nature of the business. Reuse these words in your first paragraph.
  2. Priority missions: labour relations, talent management, change support, payroll management. Choose the situation in your second paragraph according to the mission that comes up most.
  3. The level of autonomy: a job reporting to a business-unit director expects a different tone from a job supporting an HR manager.

To understand how recruiters read this profession, you can also prepare the interview with our HRBP interview questions, and see how a career is displayed in the HRBP résumé example. If you are starting from an HR officer job, the guide to becoming an HRBP describes the steps.

A note on the tool: the cover letter generator is not open on RH-CV. Concentrate on your résumé, the document applicant tracking systems read first: RH-CV’s tool handles layout for you, and the PDF it produces is read correctly by these systems, which discard poorly structured résumés before a human opens them. You can prepare it in the résumé editor, then write your letter in your usual word processor.

Frequently asked questions

Do you need a cover letter for an HRBP job?

When the advertisement asks for one, yes. When it does not, a short, precise letter can set you apart, especially if your background is atypical or you are changing scope. It must never replace a clear résumé.

How long should it be?

One page, about three paragraphs. A recruiter reading several applications in a row expects a letter they can skim in under two minutes.

Can you reuse the same letter for several offers?

You can reuse the structure and the situation in the second paragraph, provided you rewrite the first and last for each company. A letter where only the company name changes shows immediately.

How do you present a background with no HRBP job yet?

Take a situation where you advised a manager, even as an HR officer or site HR manager. Describe it as in the example, and say clearly that you want to widen that role.

Should you cite tools and indicators?

Only if they serve your point. A turnover dashboard used to inform a decision belongs; a list of software with no context does not.
